    What makes a Professional Email...Professional?

    Communicating from Business to Consumer through email is taking over. Email is accessible. Email is cheap. Email is effective. In fact, these characteristics of email are making it less efficient. Now, with the addition of HTML emails consumers have a way of unscrambling the professional emails from the pointless. Or do they? Today we are talking about text vs. HTML email and what can separate your email from the junk.

    In an overall survey I am almost sure that most would prefer to send and receive text emails. “A good professional email is all about the message.” That‘s true, no email is worth reading without good content, but HTML emails have their advantages. For a business, HTML emails provide the option of including images of products, company logos, links and other branding material such as colors and feel. The abuse of these options can easily separate the Professional email from the junk.

    If I have to watch an email download to read it, it‘s probably going to get deleted. When creating a HTML email as with a web page, file size becomes a major issue. The graphics, links, logos etc. are best when used as functional support. Using a link instead of a graphic in your email can be very effective in boosting traffic to your website. It doesn‘t take a “design junkie” to create a comfortable feel through your HTML email. A simple header and footer is enough keep you out of the annoying email crowd, but there are several other factors that you might want to take into consideration.

    A professional email must also include:
    • Proper spelling

    • Good grammar

    • A meaningful subject line

    • Concise message

    • Simple signature

    Remember, these thoughts are relevant to the general mass email. There of course are circumstances that would lead you to do otherwise, for example: I receive at least three emails a day from some company trying to sell me ink for my printer. Their emails are colorful, large in file size, have very little text, but always catch my eye. It‘s understandable...they’re in the ink business.
